What we collect

To provide accounting and tax services, we may collect your name, contact details, date of birth, National Insurance number, Unique Taxpayer Reference, identity documents, and financial records such as income, expenses, bank statements and payroll information. Where you are an employer or company director, this may include details of your employees or fellow directors.

Why we use it and our legal basis

We use your information to carry out the work you engage us for (performance of our contract), to meet legal duties such as anti-money-laundering checks and filings to HMRC and Companies House (legal obligation), to run and protect our practice (legitimate interests), and, where you agree, to send you updates (consent).

Who we share it with

We share information only where needed: with HMRC and Companies House to make filings on your behalf, with the software providers we use to deliver our services, and with our professional advisers or insurers. The AAT may inspect our client files as part of regulating licensed members. We may also disclose information where the law requires it.

We do not sell your information.

Money laundering reports

We are required by law to report any suspicion of money laundering to the National Crime Agency, and we are prohibited by law from telling you if we do so.

How long we keep it

We keep anti-money-laundering records for five years after our relationship ends, and tax and accounting records for six years, as the law requires. Other records are kept only as long as needed.

Your rights

You can ask us to give you a copy of your information, correct it, delete it, or restrict how we use it, and you can withdraw consent or object to marketing at any time. Contact us using the details above and we will respond within one month. Some records we must keep by law and cannot delete on request.

Complaints

If you are unhappy with how we handle your information, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Our immigration services are provided by a separate company, Dusk Immigration Ltd, which has its own privacy policy.
